Timesheet to payroll, in order.

• 1. Confirm the week the payroll company uses

  Sunday to Saturday and Monday to Sunday are both common. Close the same days the payroll file expects.

• 2. Every person is accounted for

  Each person who should be paid has hours, or a recorded day off. A blank name is a missing timesheet, not a zero.

• 3. Hours sit on a work order or an overhead code

  Shop time, drive time you pay, and job time should not share a blank line. If you cannot name the job, it is not ready.

• 4. Hours that do not match the schedule have a note

  A short note is enough: rained out, extra helper, sent to another site. The office should not have to call to learn that.

• 5. Overtime is flagged before the file goes out

  Apply the rule your company already uses. Do not invent one on Friday afternoon.

• 6. PTO for the week is approved or denied

  Approved leave is in the paid total. Denied leave is not. Pending requests are not done.

• 7. Someone far over their usual hours has a reason

  A 60-hour week can be real. It should not be a duplicate entry.

• 8. The team total matches the sum of the people

  Add regular, overtime, and leave. If the footer does not match the rows, fix the rows.

• 9. Write down regular, overtime, and leave per person

  That is the packet for payroll. Keep a copy with the week dates on it.

• 10. Send it, and keep the copy

  Payroll gets one file. You keep one. Do not edit the week after you send it unless payroll sends it back.

• 11. Unbilled job hours stay on the billing list

  Paying the crew does not mean the customer was billed. Finished work orders stay open for billing until they are billed.
